How to query, analyse and create content from a meeting

Ask Odin is the AI assistant built into each eligible Meeting Ally meeting. It uses the meeting’s file note, transcript and fact find, where available, so you can ask questions, identify important information and draft follow-up content without moving the meeting into another AI tool.
At a glance: Use Ask Odin to query the meeting, list agreed actions, analyse client comments, draft content and continue refining the result through follow-up questions.

Before you start

  • The meeting must have finished processing and have a file note available.
  • Ask Odin is available for current Meeting Ally V2 meetings. If it is not available for an older meeting, Meeting Ally will display an unavailable message.
  • Review the file note and speaker details first. Better source information produces more useful answers.

1. Open Ask Odin

    Open the meeting you want to work with.
    Select the Ask Odin orb in the bottom-right corner of the meeting.
    The Ask Odin panel will open on the right-hand side.

Select the Ask Odin orb at the bottom-right of the meeting to open the assistant.

2. Start a conversation

When the panel opens, choose one of the suggested prompts or type your own question into Enter response here, then select the arrow to send it.

Ask Odin opens beside the meeting, allowing you to keep the source information in view while you work.

Suggested prompts

List out next steps: Identifies actions and follow-ups discussed in the meeting.
Generate follow up email: Drafts a client email using the meeting context.
Analyse for insights: Highlights useful themes, concerns, objectives or opportunities from the discussion.
Tip: The suggested prompts are starting points. You can type a more specific request whenever you need a different output.

3. Refine the answer with follow-up prompts

Ask Odin works as a conversation. After it responds, continue in the same chat to change the format, add focus or ask it to show the basis for its answer.

A simple prompt formula

Tell Odin what to do + identify the source or topic + describe the output + add any constraints.
For example:
Using this meeting’s file note and transcript, draft a concise follow-up email to Emily and Paul. Confirm the agreed next steps and outstanding information. Do not add anything that was not discussed.
You can then use follow-up prompts such as:
  • “Shorten this to 150 words and use plain language.”
  • “Separate the adviser actions from the client actions.”
  • “Show me where the transcript supports this answer.”
  • “Rewrite the email so it sounds warmer and less formal.”

4. Return to an earlier conversation

Conversations are saved against the meeting, allowing you to return to work you have already completed.

The conversation history shows saved chats for the meeting, using the first prompt as the title.
    Select the hamburger menu at the top-left of the Ask Odin panel.
    Use Search conversations if you have several saved chats.
    Select a conversation to reopen it and review the earlier messages.
    Use the back arrow to return to the current chat.
    Select the + button to start a separate conversation. Your earlier conversation will remain in the history.
Older chats: If a saved conversation is shown as view-only, select the + button and start a new chat to continue working.

5. Prompt examples

Find information

  • “What retirement age did the clients say they were targeting?”
  • “What did Paul say about making additional super contributions?”
  • “Find every mention of estate planning and include the relevant transcript wording.”
  • “Did either client mention a holiday, major purchase or change in income?”

Create content

  • “Draft a concise follow-up email confirming the decisions and next steps from this meeting.”
  • “Draft an email to the clients’ solicitor requesting an estate planning appointment.”
  • “Create a short internal handover summary for the paraplanner.”

Analyse the meeting

  • “Summarise the clients’ objectives, concerns and preferences in separate sections.”
  • “Identify any commitments made by the adviser or clients.”
  • “What information is still outstanding before the next stage can begin?”

6. Review every answer before using it

Important: Ask Odin can make mistakes. Treat its response as a draft and check it against the file note, transcript and fact find before relying on it, saving it elsewhere or sending it to a client or third party.
Before using an answer:
  • Check client names, dates, dollar amounts and product details.
  • Confirm that actions and decisions were actually discussed.
  • Remove any assumptions or information that is not supported by the meeting.
  • Review the tone, wording and compliance requirements before using drafted content.

7. Current scope and limitations

  • Ask Odin works with eligible V2 meetings and may be unavailable for older V1 meetings.
  • Saved reusable prompts are not currently available. Keep frequently used prompts in your practice knowledge base for easy copying and pasting.
  • Ask Odin does not directly add, amend or remove content from the file note.
  • Listing next steps returns information in the chat. It does not create or assign Meeting Ally tasks.
  • A response may take a moment to appear because Odin returns the completed answer once it is ready.

8. Troubleshooting

Ask Odin is unavailable for this meeting
The meeting may be an older V1 meeting or may not have the required meeting information.
The answer is too broad
Name the client, topic, source and output you want. You can also add a word limit or specify the required format.
A previous chat is view-only
Select the + button and start a new conversation.
Odin does not respond
Wait for the current request to finish, then close and reopen the panel. If the issue continues, report the meeting name, time and prompt to your support contact.
Best practice: Use Ask Odin to accelerate review and drafting, while keeping the adviser responsible for checking the source information and final output.
