Quick Search in Advice Ally

Quick Search helps you find meetings, households and tasks from anywhere in Advice Ally. You can also return to recent work or start a new upload, recording or task.

Open Quick Search

You can open Quick Search in three ways:
  • Select Search at the top of the home screen.
  • Select the magnifying glass in the left navigation.
  • Press Ctrl + K on Windows or Cmd + K on Mac.
On the home screen, results appear below the search bar. From the left navigation or keyboard shortcut, Search opens in the centre of the screen.

Find a meeting, household or task

    Open Quick Search.
    Enter your search text, such as a meeting title, client name or task title.
    Choose a category to narrow the results, or leave All selected.
    Select a result to open it.

Only one category can be selected at a time. Selecting a category also changes the recent items and quick actions displayed.

Find a household

Choose Households, search for the client and select their household.
Search includes households across your practice. You can find a colleague’s household even if it does not appear in your recent list.


Find a meeting

Choose Meetings, enter your search text and select the meeting.
Meeting results include information such as the meeting type, date and owner to help you identify the correct record. You can search for meetings owned by colleagues in your practice.
Opening a result follows the meeting’s current state. A ready meeting opens its details, while a meeting still processing may show its processing information.

Find a task

Choose Tasks, search for the task and select it to open the full task details.
Task results display status information, and overdue tasks are highlighted in red.

Return to recent work

When the search field is empty, Quick Search shows recent items so you can reopen work without typing.
Recent lists reflect your own activity. Opening or interacting with a record updates your recent list. A colleague opening a record does not reorder your recents.
Tip: Recent items are shortcuts, not a complete list. If something is missing, type a search to find it.

Use quick actions

Quick actions let you start work directly from Search.

No quick actions. Create households from the Households page or the add menu.

Create a new task.
Select an action to open its usual creation flow.

The upload, recording and task shortcuts work without opening Search first. They do not trigger while you are typing in a text field.

Clear your search

Select the X in the search field to clear your search text and return to recent items.
Select All if you also want to see every available record category.

Quick Search and page filters

Use Quick Search to find and open records across Advice Ally.
Use Quick filter anything and the filters on the Meetings, Households or Tasks pages to narrow the list you are already viewing.
For example, use Quick Search to open a particular meeting. Use the Meetings page filters when you want a list of meetings for a household or meeting owner.

Common questions

Why can’t I find a result?

Check the selected category. If Tasks is selected, meeting and household results will not appear. Switch to All, check the spelling and try a shorter search.

Why isn’t an item in my recent list?

Recent lists reflect your activity and only show a limited number of items. Search for the record directly.

Why can I find a colleague’s meeting in Search but not on my home screen?

Quick Search can find meetings across your practice. The home screen’s My meetings view remains personal to you.

Why can’t I see Tasks or the new Search layout?

This guide covers the updated Advice Ally interface. The available categories and quick actions depend on the features enabled for your account.
